Changes to Personal Information

Change of Name

If you have officially changed your name, you will need to complete a ‘Variation to Personal Details’ form which can be obtained from and returned to a Student Service Centre. Ensure that you attach appropriate documentary evidence to this form. Eg. Marriage certificate.

Change of Address

If you change your address it is your responsibility to formally notify the university. This can be done by either changing it via the Web Enrolment System (WES) or submitting a written request.  A notification of a change of address will not be accepted by telephone. You can record your postal address, home address or contact details of anyone you would like to have notified in case of an emergency whilst on campus.

Postgraduate scholarship holder: You must also notify the Monash Research Graduate School.

Undergraduate scholarship holder: You must also notify the Coursework Scholarships Unit, Student Administration & Systems, Clayton campus.

International students: As an international student holding a student visa, it is a condition of your visa that you advise Monash University of your Australian address.  You must inform Monash of your address in Australia within 7 days of arrival in Australia and within 7 days of making a change to your address.

The university takes no responsibility for ensuring that such addresses are current and will not accept responsibility if any communication fails to reach you because you have not formally notified the university of any changes. Failure to formally notify the university of your correct address for timely receipt of mail will not be accepted as a defence in matters relating to supplementary or deferred examinations, exclusion, discipline, invalidation due to the non-payment of fees etc.

 

Change of Residency Status

From International to Domestic Status

Students whose visa has changed from any Temporary Visa (including a Student Visa) to an Australian Permanent Resident Visa (APRV) must notify the University within 14 days of the change.  This will result in the student's university fee and residency status being changed from international to domestic.

This must be done using the 'Change of residency status notification form - from international to domestic status'  which can be obtained from any Student Service Centre and must be lodged with the Health, Wellbeing and Development Unit or the Caulfield Service Centre (Caulfield students only).

Any changes that occur prior to your units' census date will affect your fee status for those units.  If the change occurs after your units' census date, your fee status will not be affected until the following teaching period.  There are different census dates for units in various teaching periods but the most common unit census dates are as follows:

  • Semester 1 units: 31 March
  • Semester 2 units: 31 August
  • Full Year units: 30 April

The key date to determine the change in status is the date of the visa grant as indicated on the visa label affixed to the passport and not the date on which the original application for an APRV was made.

From Domestic to International Status

Domestic students who have changed to any Temporary Visa status (including a Student Visa) must notify the University within 14 days of the change. This will result in the student's university fee and residency status being changed from domestic to international. From Australian Permanent Residence Visa (APRV) to Australian Citizen

Holders of an APRV who obtain Australian Citizenship should notify the University immediately so that changes can be made to their student record. Students should provide a certified copy of their Australian citizenship documentation to any Student Service Centre counter.

Proof of Australian Citizenship must be submitted prior to the census date of the teaching period in which the student is studying or the changes will not take effect until the next semester.
